Using Quote / Booking features, you can handle quotes, bookings and picking up and dropping off the orders.

Workflow:

A – Inserting a new Quote/Booking

  • To enter a quote or booking with orders, follow the instruction for inserting a new order but make sure to check the “Quote/Booking” check box in new order window.
  • To enter a quote or booking with no orders, on the new order window, after entering the customer phone and name (or more details) check the “Quote/Booking” check box and then click on “Submit Quote/Booking” button.
  • On the “Submit” window, set pick up time as quote/booking/pick up time.

B – Managing/Converting the quotes to orders

  • Click on the “Q/B” (Quote/Booking) button on the top of the page.
  • Select the date range you would like to get the quotes/bookings.
  • Click on view report
  • For pick up orders by driver, use the print button to print orders and related addresses. (prints from your receipt printer)
  • You can use the “Client Name” and “Client Phone” filters to locate the quotes/bookings.
  • Click “View Orders/Convert To Order” located on the right side of each quote/booking.
  • Click “Convert To Order” button to convert the quote/booking to order.
  • Follow the prompts to convert the quote/booking to order.

Alternatively you can convert the quotes/bookings to order from the home screen:

  • Search the customer using this guide.
  •  Click “Get Client Orders” button.RetrieveIcon
  • Click “Convert To Order” button located on the right side of each quote/booking.
  • Follow the prompts to convert the quote/booking to order.

To manage converted orders:

  1. To check the converted orders (i.e. for deliveries) check the View Converted Quotes/Bookings check box.
  2. To select only orders that are 100% done, select 100% Done Only from the drop down list.

C – Get a list of quote/bookings on the mobile version

  1. Navigate to http://app.geelus.com/mobile.
  2. Enter your user name/password and login.
  3. Users with employee role will be automatically redirected to the Quotes/Bookings page.
  4. Owners redirected to the Order Report page.
  5. Click the menu button located on the top left corner of the page and select Quotes/Bookings.
  6. Select the date range and click View Report.
  7. To check the converted orders (i.e. for deliveries) check the Converted Quotes/Bookings check box.
  8. To select only orders that are 100% done, select 100% Done Only from the drop down list.

D- When the order is delivered (Pick up / Delivery system)

  • If the order is for an account based customer and the payments will be taken later:
    • set all items as picked up by clicking on the “Set All Picked Up” button on the order.pickupall
    • Once you received the payments, complete the order using this guide.

  • If the customers pays upon the delivery, complete the order using this guide when the item is delivered.

D- Looking for route management for pickup and deliveries?

Tookan is a great way to manage your drivers, routes and appointments with your customers. You can simply export your quotes / bookings  for the day and have them imported into tookan. Then you can apply the jobs to your drivers or have them automatically allocated based on criteria like post / zip code.
